ARTIFICIAL INTELLIGENCE (AI) USE POLICY
Jurnal Ilmiah Farmasi Simplisia (JIFS) recognizes that Artificial Intelligence (AI), including Large Language Models (LLMs), generative AI tools, chatbots, AI-assisted writing tools, and AI-based data or image analysis tools, can support authors, reviewers, and editors in the scholarly publishing process.
JIFS permits the responsible, transparent, and ethical use of AI technologies, provided that such use does not replace human intellectual judgment, scientific responsibility, or accountability. The use of AI must comply with the principles of research integrity, transparency, confidentiality, academic honesty, and publication ethics.
1. Use of AI by Authors
Authors may use AI technologies to assist with the preparation of manuscripts, including but not limited to:
improving grammar, spelling, language, and readability;
translating or editing manuscripts;
improving manuscript structure and organization;
generating or refining ideas for presenting scientific information;
assisting with data analysis, programming, or data visualization, provided that the use of AI can be appropriately described and scientifically verified; and
assisting with the preparation or processing of figures, tables, or other supplementary materials, provided that such use complies with research integrity and copyright requirements.
AI must not be used as a substitute for the authors' scientific judgment, intellectual contribution, or responsibility for the content of the manuscript.
Authors remain fully responsible for:
the accuracy and validity of all information presented;
the interpretation of research data;
the originality of the manuscript;
the accuracy and completeness of citations and references;
compliance with research ethics and applicable regulations;
potential plagiarism or copyright infringement; and
all content submitted to JIFS.
Because AI-generated outputs may contain inaccurate, incomplete, biased, or fabricated information, authors must critically evaluate, verify, and, where necessary, revise all AI-generated content before including it in a manuscript.
2. Disclosure of AI Use
Authors are required to disclose the substantive use of AI in the preparation of their manuscripts.
The disclosure should identify, where applicable:
the name and version of the AI tool or technology used;
the purpose for which the AI was used;
the section or stage of manuscript preparation in which AI was used; and
the nature and extent of AI involvement.
Routine use of AI-assisted spelling, grammar checking, or basic language editing does not necessarily require detailed disclosure unless requested by the Editor.
However, the use of AI to generate or substantially modify text, analyses, figures, tables, code, or other scientific materials must be transparently disclosed.
Example of an AI Disclosure Statement
Artificial Intelligence Use Statement: The authors used [name of AI tool] to assist with [language editing/manuscript organization/data analysis/other purpose]. All AI-assisted content was critically reviewed, verified, and revised by the authors. The authors remain fully responsible for the accuracy, integrity, and originality of the manuscript.
The disclosure of AI use does not diminish the authors' responsibility for the manuscript.
3. AI Cannot Be Listed as an Author
JIFS does not recognize artificial intelligence systems, chatbots, Large Language Models (LLMs), or other AI tools as authors or co-authors.
AI systems cannot be listed as authors because they cannot assume responsibility for the accuracy, integrity, originality, and ethical aspects of a published article.
Authorship must be limited to individuals who meet the applicable authorship criteria and can take responsibility for the work.
4. Use of AI for References and Citations
AI-generated references and citations must not be used without verification.
Authors are responsible for:
verifying the existence and accuracy of every reference suggested or generated by AI;
ensuring that each citation genuinely supports the relevant scientific statement;
using credible and verifiable scholarly sources; and
avoiding fabricated or unverifiable references, articles, authors, or DOI information generated by AI.
AI-generated citations must never be treated as authoritative sources without independent verification.
5. Use of AI in Peer Review
Peer reviewers must maintain the confidentiality of all manuscripts and related information received during the peer-review process.
Reviewers must not upload or submit unpublished manuscripts, research data, figures, tables, reviewer comments, or other confidential information to publicly accessible AI systems or third-party AI tools when confidentiality cannot be guaranteed.
If a reviewer intends to use an AI tool to assist with the review process, the reviewer should obtain permission from the Editor and ensure that the use of the AI tool does not compromise manuscript confidentiality.
AI must not replace the reviewer's independent scientific judgment. Reviewers remain fully responsible for the accuracy, objectivity, relevance, and confidentiality of their review reports.
6. Use of AI by Editors and the Editorial Team
Editors and members of the JIFS editorial team may use AI tools in a limited and responsible manner to assist with editorial and administrative tasks, such as:
language and grammatical checking;
technical editing;
organizing non-confidential editorial information; and
other administrative tasks that do not compromise the confidentiality of submitted manuscripts.
Editors and editorial staff must not upload unpublished manuscripts or confidential information to AI systems that do not provide adequate confidentiality and data protection.
AI must not be used as the sole basis for:
accepting or rejecting a manuscript;
evaluating scientific quality;
making ethical judgments;
making final reviewer decisions; or
making any other substantive editorial decision.
All editorial decisions remain the responsibility of human editors.
7. AI-Generated or AI-Assisted Images, Figures, and Data
The use of AI to generate, modify, enhance, or analyze images, figures, tables, or research data must be disclosed when such use makes a substantive contribution to the manuscript.
Authors must ensure that AI use does not:
fabricate or manipulate research data;
alter experimental results;
create misleading scientific images or figures;
remove or conceal scientifically relevant information;
misrepresent AI-generated content as experimental results;
violate copyright or intellectual property rights; or
create a false representation of research that was not actually performed.
AI must not be used to fabricate experimental data, research results, patient information, or other scientific evidence.
Any AI-assisted image or figure must accurately represent the underlying research and comply with applicable ethical and copyright standards.
8. Research Integrity and Author Responsibility
The use of AI does not reduce or transfer the responsibility of authors, reviewers, or editors for the integrity of the publication process.
Authors, reviewers, and editors remain responsible for identifying and addressing errors, misinformation, bias, plagiarism, inappropriate content, copyright infringement, or other ethical concerns arising from the use of AI.
Where necessary, JIFS may request clarification regarding the use of AI and may take appropriate editorial action if AI use results in violations of research or publication ethics.
Failure to transparently disclose substantive AI use may be considered in the assessment of research and publication integrity.
9. Privacy, Confidentiality, and Data Protection
Authors, reviewers, and editors must exercise caution when entering information into AI systems.
Confidential, unpublished, personal, sensitive, proprietary, or otherwise restricted information must not be entered into publicly accessible AI systems unless appropriate data protection and confidentiality safeguards are in place.
In particular, reviewers and editors must protect the confidentiality of submitted manuscripts throughout the peer-review and editorial processes.
10. Guiding Principles
JIFS applies the following principles to the use of AI in scholarly publishing:
Human Responsibility – Transparency – Accuracy – Confidentiality – Academic Integrity
AI may be used as a supporting tool, but it must not replace human intellectual contribution, scientific judgment, ethical responsibility, or accountability.
JIFS reserves the right to update this policy as AI technologies, ethical standards, and best practices in scholarly publishing continue to evolve.
